As an Event Coordinator for SV Productions

  1. Vendor/Staff Coordination: Ensure that all vendors deliver their services as agreed. With staff such as Brand Ambassadors, Production Assistants, Interpreters, and vendors such as scenic, transportation providers, rentals, vinyl, and more.

  2. Logistics Planning: Oversee logistical aspects of the event, including transportation, lodging, equipment rentals, and trucking arrangements. Attention to detail is crucial to ensure that all logistical elements align seamlessly on the day of the event.

  3. Production Schedule: Create detailed timelines and schedules for the event, outlining key milestones and deadlines. Ensure that tasks are completed on time and that the event runs smoothly.

  4. On-Site Coordination: During the event, oversee setup, manage staff, address any issues that arise, and ensure that the event progresses according to plan. Serving as a point of contact for clients, vendors, and attendees.

  5. Problem-Solving: Troubleshooting and resolving any issues or emergencies that may arise during the event. Quick thinking and the ability to adapt to unforeseen circumstances are essential skills in this role.

  6. Crates Organization: Liaise with vendors and clients who provide event materials or equipment shipped in crates or containers. Coordinate with trucking companies or freight forwarders to schedule the delivery of crates to the event venue. Upon arrival, oversee the unloading and organization of crates, ensuring that each crate is labeled with its contents and destination within the venue.

  7. Warehouse Management: Maintain an organized inventory of all items stored in the warehouse, including crates, signage, and audiovisual equipment.

  8. Post-Event Evaluation: After the event, debriefing sessions to evaluate its success, gather feedback from clients and attendees, and identify areas for improvement. This information helps inform future event planning efforts.

  9. Receipt Verification: Meticulously gather and organize all receipts and invoices related to the event expenses. Ensure that every expense is properly documented and accounted for, adhering to the budget set for the event.

  10. Expense Reconciliation: Compare the receipts and invoices against the budget to ensure accuracy and identify any discrepancies. Reconcile expenses to ensure that they align with the allocated funds and identify the overages.

  11. PO (Purchase Order) Log Organization: Maintain a comprehensive log of all purchase orders issued. Verify that all items or services ordered were received as expected and that invoices match the corresponding purchase orders.
